Job Description
Mission and objectives

The UNDP, as a global development network, aims, among other things, to promote gender equality and foster development and the exchange of experiences between countries. Mauritania has signed and ratified the conventions dedicated to the defense of the rights of the child (CRC) and the Convention on the Elimination of All Forms of Discrimination against Women (CEDAW). The country has also committed, through the Sustainable Development Goals, to achieving the seventeen SDGs, of which goal number 5 aims to promote gender equality and the empowerment of women.

However, the persistence of unequal relationships and lack of equity still constitute an obstacle to the sustainable development of the country. These imbalances, which concern the political, economic, and legal spheres, as well as the social and cultural ones, constitute an obstacle to the enjoyment of the same human rights for all. They thus prevent women, who represent more than half of the population, from fully playing their role in the country’s growth and development process.
Context

Under the direct supervision of the Administration Officer, and more generally of the UNDP Operations Officer, the Administrative Assistant provides cross-functional support to the administrative, logistical and operational functions of the country office. In particular, he/she contributes to mission management, invoice payments, as well as monitoring of premises and supplies. He/she ensures the quality of work, the accuracy of processes and the proper documentation of operations. The Administrative Assistant promotes a client-oriented, quality and results-oriented approach. He/she works closely with operations, program and project staff to ensure smooth coordination and consistent service delivery. In a dynamic environment, he/she plays a key role in the smooth daily functioning of the office and in the continuous improvement of administrative services.
Task Description

Under the direction and supervision of the Administration Officer, the volunteer will provide administrative support to the Country Office. In this context, he/she will be responsible for the following tasks: Support the Mauritania office for field missions and travel; Support to the Administration of the Mauritania office for the procurement of goods and services Payment of invoices Provide support to the management of UNDP premises and the UN Compound, asset management, focusing on achieving the following results Management of the supply store (management of supply requests, inventories, etc.) Support to administrative and logistics services Capacity development Perform additional tasks requested by the supervisor, among others, within the framework of building management;

1- Support the Mauritania office for field missions and travel: – Initiation of mission orders after receiving the memo – International travel: Request reservations from the agency for comparisons and validation of the itinerary, then share with colleagues for initiation of travel requests (TR) – National travel: Verification of all travel requests (TR) initiated by colleagues before Processing by finance and Initiation of TRs for the national party or other agencies (UNDSS or agencies not represented in Mauritania) – Support to colleagues if necessary / Initiation of claims for the national party and other agencies upon return from the mission. – Claims Initiation of claims for the national party and other agencies upon return from the mission.

– DSA reimbursement and return ticket for Consultants 2- Support to the Administration of the Mauritania office for the purchase of goods and services: – Support for the development of the annual purchasing plan and periodic update. – Preparation of requisitions in quantum for the purchase of goods and services as well as individual consultants. – Administrative follow-up and renewal of contracts for the purchase of goods and services as well as contracts for Individual Consultants (IC). 3- Payment of invoices: – Support to office administration for the payment of invoices for goods and services – Support for the payment of invoices for individual consultants

4- Provide support to the management of UNDP premises and the UN Compound, asset management, focusing on achieving the following results: 5- Management of the supply store (management of supply requests, inventories, etc.) 6- Support to administrative and logistics services: Preparation of correspondence: NV, exo, D collection, letter,…. 7- Capacity development: Support to driver colleagues for training in the field of gender (Gender and Transportation translation into French) 8- Carry out additional tasks requested by the supervisor among others,within the framework of building management; Other responsibilities 9- Support administrative and financial closure; 10- Perform secretarial services during meetings In addition to the above, UN Youth Volunteers are encouraged to:

· Strengthen their knowledge and understanding of the concept of volunteering by reading the documentation made available by UNV, external publications and actively take part in UNV activities, for example, get involved in the commemorative activities of International Volunteer Day (IVD), on December 5. · Familiarize themselves with and develop any form of traditional and/or local volunteering at the host country level. · Reflect the type and nature of the volunteer actions they undertake, including their participation in substantive reflections. · Contribute to the writing of articles on field experiences to be submitted for UNV publication/website, newsletter and press notes, etc. · Contribute to the Hosting Programme for newly arrived UN Volunteers in the country of assignment. · Promote or advise local groups in the use of online volunteers or encourage individuals and organizations to use online volunteer services where technically feasible.
